Our client, an international non-profit organization promoting financial stability across Europe, is seeking an Office Manager/Executive Assistant. In this role, you will manage daily operations, support the Secretary General, and act as the main point of contact in Brussels, representing the organization with members and stakeholders.

As an Office Manager/Executive Assistant, you will :

  • Oversee daily operations, handle member inquiries, and ensure effective communication with members and stakeholders.
  • Plan and coordinate online, hybrid, and in-person events, including logistics, registrations, venues, and technical setup.
  • Draft agendas, minutes, reports, and follow-ups for meetings.
  • Handle invoices, monitor fees, prepare financial statements, and work with external accountants.
  • Maintain and update the organization’s website, systems, and databases, ensuring security and proper functionality.
  • Manage newsletters, maintain contact databases, and create materials to support the organization’s corporate identity.
  • Communicate through social media and manage or update the organization’s website.
  • Assist in implementing the annual business plan, ensuring compliance with internal policies, and maintaining accurate records.

The ideal candidate for this Office Manager/Executive Assistant role would be:

  • Excellent command of English and French (written and spoken); proficiency in another major Belgian language (Dutch or German) is a plus.
  • A minimum of 5 years in administration, preferably in an international environment, with a background in business, economics, finance, law, or accounting.
  • Highly organized, detail-oriented, and capable of balancing conflicting priorities under pressure.
  • Willingness to travel occasionally for meetings and events.
  • Experience with accounting systems, preparing budgets, and developing internal control systems.
  • Familiarity with the workings of the European Union and its institutions is an advantage.
  • Creative, proactive, and resilient under stress, with excellent interpersonal and communication skills.
