Office Assistant
Our client, a financial firm leader on its market, is currently looking for a motivated and polyvalent Office Assistant. Do you like acting as the first point of contact, meeting and greeting visitors, answering and dispatching incoming calls, as well as performing miscellaneous administrative tasks? As Office Assistant, you will support the Office Manager performing the following tasks:
- Meet and greet all visitors while assisting them with their enquiries and accommodating them within the office with adequate resources and hospitality
- Manage the booking and set-up of the meeting rooms, co-ordinate the administration and facilities of all technical or other related equipment in the meeting rooms
- Order breakfast/lunch for meetings and office supplies, liaise with suppliers whenever necessary
- Manage transport bookings for the staff, clients and guests whenever necessary
- Manage all incoming phone calls appropriately and liaise with the building concierge to ensure that the mail is delivered, sort the mail
- Assist the administrative team with ad-hoc tasks (e.g.participate to the coordination of office events)
The ideal profile of the Office Assistant:
- You have a secretarial degree/certificate and/or a first relevant client-oriented experience
- You have an excellent written and spoken French combined with a very good English
- You have strong communication and organization skills
- You can demonstrate an ability to multitasking, prioritize demands and take initiatives
- You have a service-oriented and problem-solving mentality, adaptability and flexibility
- You can demonstrate a professional behaviour, ethical standards, discretion and confidentiality
