Management Assistant
Our client is an established and fast-growing architecture firm with a strong presence in Belgium and an expanding international footprint. The Brussels office is looking for a proactive and versatile Executive Assistant / Administrative Officer to support day-to-day operations and ensure the smooth running of the team.
What you’ll do as an Executive Assistant / Administrative Officer:
In this multifaceted role, you’ll act as a key support for both partners and project architects, while also taking ownership of the administrative coordination of the office.
Your responsibilities will include:
- Managing administrative tasks such as document handling, call management, scanning, filing, and processing incoming/outgoing mail
- Coordinating logistics: ordering supplies, overseeing deliveries, scheduling meetings, welcoming guests, and managing agendas
- Assisting with the preparation and administrative follow-up of public tenders and insurance documentation
- Supporting internal communication and event organisation (team events, office celebrations)
- Assisting with HR procedures and onboarding new employees
- Providing general administrative support to the architecture team and acting as a liaison between departments
What you bring as an Executive Assistant / Administrative Officer:
We’re looking for a candidate who is highly organised, solution-oriented, and thrives in a dynamic, fast-paced environment. Someone who is confident, service-minded, and able to handle a wide range of responsibilities with autonomy.
Your qualifications:
- Minimum 7 years of experience in a similar administrative or executive support role
- Previous experience in an architectural, technical, or project-based environment is a plus
- Strong communication skills in French and Dutch, and a good understanding of English
- Solid skills in MS Office (Word, Excel, PowerPoint, Outlook)
- Able to prioritise, multitask, and maintain structure under pressure
- Diplomatic, discreet, and team-oriented with a proactive mindset
