Executive Assistant to C-Level

A leading private equity investment firm based in Brussels is looking for an experienced Executive Assistant to support C-Level executives. This is a high-trust, highly confidential and pivotal role, combining executive support, personal assistance, and coordination across business and private matters. The ideal candidate thrives in a fast-paced, demanding, and international environment.

Your Role as Executive Assistant

You will act as the right hand of senior leadership, ensuring seamless daily operations and flawless coordination across all activities:

Executive & Agenda Management

  • Organizing complex internal and external meetings across multiple entities
  • Coordinating with various teams within the group
  • Managing priorities, requests, and follow-ups
  • Tracking actions and ensuring deadlines are met

Travel & Logistics

  • Full travel management: flights, trains, hotels, itineraries
  • Coordination of logistics for meetings and events
  • Organizing office logistics, equipment, and visitor welcome
  • Collaboration with office management (lunches, facilities, IT support)

Communication & Coordination

  • Handling calls, emails, and correspondence in French and English
  • Acting as interface with internal and external stakeholders
  • Managing ad hoc communications and urgent requests

Corporate & Investment Support

  • Preparing and organizing investment-related files and meetings
  • Supporting mandates within investment structures
  • Coordinating dinners, invitations, and catering arrangements
  • Managing mail flow (incoming and outgoing)
  • Archiving and document management

Expense & Financial Administration

  • Tracking and processing expenses (credit cards, transport, invoices)
  • Monitoring statements (SNCB, G7, etc.)
  • Invoice verification and payment coordination

Personal & Family Office Support (C-Level)

  • Managing personal expenses for CEO, family, and staff
  • Liaising with banks and advisors
  • Handling insurance, property, medical, and private administrative matters
  • Preparing personal and investment-related files for meetings
  • Organizing gifts, greetings, and personal/professional gestures
  • Managing a variety of confidential ad hoc requests

Your Profile as Executive Assistant

  • Proven experience as Executive Assistant to senior/C-Level executives
  • Strong background in private equity, financial services, or corporate environments is a plus
  • Excellent organizational and multitasking skills
  • High level of discretion, confidentiality, and reliability
  • Strong communication skills in French and English (written & spoken)
  • Ability to work under pressure in a fast-paced environment
  • Strong sense of ownership and proactive mindset
  • Comfortable managing both professional and personal executive support
