Executive Assistant
A new exciting opportunity as Executive Assistant has just become available at one of our clients located in Brussels centre. Our client, a human-sized company yet present on a European scope, is active in the service sector and is a leader on its market. In this role, you will support the General Director while supporting the Office Manager with the running of the office.
You will evolve in a central, polyvalent and autonomous position that offers diverse responsibilities and opportunities for growth.
As Executive Assistant, you will be more specifically responsible for the following tasks:
- Assist the General Director with agenda management and meetings coordination.
- Prepare PowerPoint presentations and ad-hoc materials for meetings, take notes where necessary and draft summaries/action points’ follow up
- Conduct brief internal and external stakeholder communications on behalf of the General Director.
- Managing and coordinating the office agenda (visits of clients and other external stakeholders, etc.)
- Handle office matters such as access badges, office supplies, and kitchen maintenance, oversee office-related invoices, liaise with external suppliers where necessary
- Welcome visitors, manage the general phone line and the general email address, handle incoming and outgoing mail and packages.
Ideal profile of the Executive Assistant:
- You have an excellent knowledge of French and English (business languages), ideally combined with a (very) good knowledge of German and/or Dutch
- You have at least 5 years of experience in a similar role (Management or Executive Assistant, Office Manager, etc.)
- You have a good knowledge of MS Office (Outlook, Word, Excel and PowerPoint)
- You have a passion for administration, coordination and organization
- You have excellent communication and organization skills
- You are proactive, active and reactive
- You are positive, service-minded and adaptive
- You can cope with stress, are service-minded and detailed-oriented.
