Sales Operations Coordinator
We are looking for a Sales Operations Coordinator for one of our clients based in Vilvoorde, active in the technical industry. In this role, you will be responsible for supporting the full order-to-delivery process, ensuring smooth coordination between customers, internal departments, and logistics partners. You will handle the daily follow-up of orders, shipments, and documentation, while also supporting invoicing and administrative accuracy.
Your tasks as a Sales Operations Coordinator:
- Manage the end-to-end order-to-delivery process for assigned distributors, ensuring smooth coordination between customers, logistics, finance, and internal teams
- Handle daily communication with distributors regarding availability, orders, reservations, and delivery planning
- Prepare quotations within approved guidelines and process sales orders and confirmations
- Follow up on order changes, delays, and customer requests
- Support credit control follow-up in cooperation with Finance
- Coordinate and book shipments with logistics teams and external partners
- Prepare and manage export and shipping documentation
- Ensure accurate and timely invoicing (commercial and pro forma invoices)
- Follow up on shipment-related costs and administrative processing
- Maintain accurate data in ERP systems and ensure correct order tracking
- Support sales reporting, order intake reporting, and month-end closing activities
- Monitor outstanding orders and ensure timely resolution of issues
- Ensure compliance with export regulations and internal procedures
- Collaborate closely with Sales, Finance, Logistics, and Operations teams
- Contribute to continuous process improvement and efficiency initiatives
The ideal profile of the Sales Operations Coordinator:
- Bachelor’s degree or equivalent experience
- At least a first experience in sales administration, order management, logistics coordination, or export-related roles
- Strong communication skills with the ability to interact professionally with customers, suppliers, and internal stakeholders
- Highly accurate and detail-oriented, especially when handling data, documentation, and deadlines
- Good organizational skills and the ability to manage multiple priorities in a fast-paced environment
- Problem-solving mindset with a proactive and service-oriented attitude
- Comfortable working with ERP systems and MS Office tools; experience with reporting tools is a plus
- Strong team player who can also work independently and take ownership of tasks
- Fluent in English and French; Dutch is an advantage
